Hidden Costs of Running a Trade Business in Australia

You priced the materials, allowed for labour and added a margin. The quote looked profitable. But by the end of the job, there was barely anything left.

That is often because the biggest threats to a trade business are not the obvious project expenses. They are the overheads quietly ticking away in the background: vehicle downtime, unpaid quoting, staff on-costs, tool replacement, insurance and jobs that run longer than planned.

Understanding these hidden costs does not require complicated accounting. It starts with knowing where your money and billable hours are actually going.

1. Your Employee Costs More Than Their Hourly Rate

Paying someone $40 an hour does not mean they cost the business $40 an hour.

You may also need to cover:

  • Superannuation
  • Annual leave
  • Personal and carer’s leave
  • Workers compensation insurance
  • Training and licences
  • Uniforms and safety equipment
  • Payroll administration
  • Downtime between jobs

Full-time and part-time employees are generally entitled to four weeks of annual leave, while full-time employees receive 10 days of paid personal and carer’s leave each year.

Employers also generally need workers’ compensation insurance, although requirements and premiums vary by state and territory.

This means an employee’s true hourly cost can be considerably higher than the number appearing on their payslip.

2. Quoting and Admin Time Still Costs Money

A two-hour site visit, another hour spent preparing the quote, and 30 minutes spent chasing a response can disappear from your week without producing a dollar of revenue.

The same goes for:

  • Ordering materials
  • Answering client emails
  • Rescheduling jobs
  • Following up overdue invoices
  • Managing compliance paperwork
  • Driving between suppliers and worksites

You may not invoice those hours directly, but your charge-out rate still needs to recover them.

3. Vehicle Ownership Is More Than Fuel and Rego

A work ute is not simply a purchase price plus diesel. The Australian Taxation Office identifies vehicle costs including fuel and oil, servicing and repairs, registration, insurance, loan interest, lease payments and depreciation.

Trade businesses can also face costs such as:

  • Tyres and batteries
  • Tolls and parking
  • Toolboxes, racks and towing equipment
  • Cleaning and signage
  • Insurance excesses
  • Lost resale value
  • Replacement transport during repairs

Even when the ute is parked, repayments, registration and insurance continue.

4. Small Delays Can Destroy a Job’s Margin

A job does not need to go badly to become unprofitable.

An extra supplier run, two hours waiting for access, a damaged tool and one return visit might seem minor. Together, they can wipe out the margin you added to the quote.

Track the estimated and actual hours for each job. When a project runs over, record why. After a few months, patterns usually become obvious.

Common causes include poor site access, incomplete plans, client changes, material delays and underestimating travel time.

5. Cash Flow Gaps Create Their Own Costs

You can be profitable on paper and still struggle to pay wages.

Materials may need to be purchased today, while the client pays in 30 days — or later. During that gap, you are funding the job.

Late payments can lead to overdraft interest, supplier account pressure, missed opportunities and less money available for vehicle repairs or replacement equipment.

Deposits, progress claims and clear payment terms help reduce the gap between spending money and receiving it.

Making Vehicle Costs More Predictable

Owning every work vehicle outright is not the only option.

Tradiespec’s FlexiRent provides work-ready utes, vans and tipper trucks through flexible rental arrangements, with registration, insurance, maintenance and roadside assistance included. This can make vehicle expenses easier to forecast when taking on a new employee, covering a busy project or replacing an unavailable vehicle.

For businesses wanting a longer-term pathway, Rent-to-Own spreads the vehicle cost through weekly payments, with eligible customers owning the vehicle at the end of the agreed term.

The goal is not simply to find the cheapest ute. It is to protect billable hours, preserve working capital and reduce the chance that one breakdown throws the entire week off course.

Know Your Real Costs Before You Quote

Profitable trade businesses price more than materials and hours on the tools.

They allow for admin, employee on-costs, vehicles, downtime, insurance, mistakes and the inevitable days when nothing goes to plan.

Once those costs are visible, you can quote with confidence — and stop wondering where the profit disappeared.
